Testing Procedures for Non-STAGEnet sites

When planning an event with a Non-STAGEnet site, testing the connectivity with the site before the event will help ensure a successful video conference for everyone involved.
STAGEnet sites include those sites that are registered and certified by the state of North Dakota. Non-STAGEnet sites include those not registered such as a private site, out of state site, and desktop video units for example.

Testing should be conducted if you are making a point-to-point connection, (your site to another site) that is not on STAGEnet and does not need to be scheduled with IVN for bridging. Sometimes firewalls or other problems can occur which may require bridging by IVN.

Here are some general guidelines that will minimize potential problems:

The meeting facilitator or instructor on campus who wishes to connect with a non-STAGEnet site needs to contact their site coordinator with the details. Testing needs to be completed at least 5 business days prior to the event.

Here are some preliminary steps you should take before contacting your campus videoconference site coordinator:

    1. Have the name of the site (city/campus or institution, including room) to which you will connect.This includes a contact name, phone number and e-mail address.
    2. Gain permission to use that site/ room at the connecting site, preferably in writing or an e-mail.
    3. Clarify with the connecting site if any fees will be imposed for the test and the actual connection.
    4. Visit with your site coordinator about the process for testing. They will have other information they need to gather from you about the testing site.

General Information about the Testing Process:

  1. Test the equipment to be used in the actual location of the videoconference. Test everything with the exact configuration as it will be used for the conference.
  2. Testing with other equipment in another location is not a real test. Make sure to test all changes made to the system/network prior to the event.
  3. Testing should last no more than 15 minutes unless problems arise.
